Your One Drive is your own personal storage area in Microsoft 365. When everything is collaborative its great to have your own area which belongs to you personally unless you decide to share some of it with others.
1. Understand the Difference Between OneDrive and SharePoint
OneDrive is for personal work files, while SharePoint is for team or organisational content (Teams is an interface which sits over SharePoint) . Make sure users know when to use each to avoid confusion and misplacement of documents. OneDrive is the equivalent of the personal drive in server based filing systems. No one else can view your One Drive files unless you share them with others. .
2. Set Up Proper Syncing and Sharing
The OneDrive sync client allows users to access files offline. Ensure it’s installed and configured correctly, especially for hybrid or remote teams. Watch out for sync errors and educate users on how to resolve them. Ensure users understand how to set appropriate permissions. If Sharing is for many people consider moving the files to SharePoint/Teams and sharing from there.
3. Leverage Version History
Accidental edits or deletions happen. OneDrive’s version history allows users to restore previous versions of files, which is a lifesaver in collaborative environments. It is also useful to track changes and edits in a document and be able to view the history of a document. You can access Version History within Microsoft Files or View Version History in SharePoint.
4. Enable Files On-Demand
This feature saves local disk space by allowing users to see all their files without downloading them. It’s especially useful for devices with limited storage. You can also access files via the One Drive App, and add metadata and/or column headings.
5. Promote Good File Naming and Organisation
With Microsoft 365 you should work with standard naming conventions – for example you do not need to add Version 1, Version 2 to a document. You should add this to the footer area. Do not use the date in the file names unless specifically linked to a specific event.
