Maximising Microsoft Teams: A Guide for Microsoft 365 Users
In today’s dynamic work environment, effective collaboration and communication are paramount. Microsoft Teams, a part of the Microsoft 365 suite, has emerged as a powerhouse tool for businesses seeking to streamline teamwork, enhance productivity, and foster seamless communication. However, many users may not be harnessing the full potential of Teams. In this guide, we’ll explore strategies and tips to help Microsoft 365 users utilise the best of Teams.
Before delving into advanced features, it’s essential to ensure a solid grasp of Teams’ fundamental functionalities. Teams serves as a hub for teamwork, integrating chat, video conferencing, file sharing, and collaboration tools into one platform. Users can create teams for specific projects, departments, or topics and within each team, channels organise discussions and content. What is beneficial (dependant on Company Policy) is that you can include external members. They become an integral part of your Team.
Chat
The most widely used part of Teams is Chat. Many users started using Teams in the pandemic and used chat to keep in touch with colleagues and set up groups of people in different chats. Personal Chats are great but file sharing is via One Drive. If you have Group Chats consider moving them to Teams.
Calls
You can call using chat, selecting the call option rather than posting a message, and if your organisation has decided to include VOIP (Telephony) within your Teams you will be able to go to Calls and use a telephone dial pad to make an external call.
Meetings
Meetings are set up in Outlook or Teams. Meetings are created and joined using a unique link. Meeting Options include a “lobby” where external attendees can wait before joining and starting recording automatically. Meetings can be recorded, attendee lists created and meetings transcribed. And in most companies you can have meeting hybrids with some attendees joining online and others in person. You can also use PowerPoint Live to run a live Presentation.
Teams in Teams
Teams Posts are so useful as they are available for anyone accessing the specific Team or Channel. Rather than spending time looking for specific email, it is like self organising your Inbox! You can hold meetings in Teams and use Teams for so much more! You can even email a channel.
File Sharing
If you share a document in a Chat, this is stored in the One Drive of the person who uploads it, if you upload a document into Teams it is stored in SharePoint. Anyone with access tot he Chat or Channel should be able to edit the file.
