Microsoft SharePoint – 5 Key Points of using SharePoint
There are many users of SharePoint as it is the most used cloud filing solution from Microsoft. As in-house servers have become a thing of the past, cloud filing has taken its place and Microsoft SharePoint online is widely used. Most organisations simply use SharePoint in its most basic replacement of the filing on the server. However it is important to ensure everyone is trained correctly as there are several differences which users should quickly learn as it is often changing habits of a working lifetime.
- By default as you edit documents they update. So you need to ensure if you use SAVE AS that you use it first before you make any changes not afterwards!
- All documents by default create versions which build up on top of each other. So you can easily go back to a previous version, or in Word compare versions. Version Control is automatic.
- Use sharing options rather than emailing copies to others for review. Keep one single version of the truth.
- Internally use the Comments option with the @ to write a comments to a colleague and keep an email trail of comments on the document along with the document!
- Naming Conventions is a great way of keeping your filing system organised! It helps with the maximum number of characters in the filepath (which includes the full URL). Don’t forget now you have inbuilt version control you no longer have to include the version number in the filename.
