Microsoft Lists

Microsoft Lists are a great addition to Microsoft 365 enabling you to keep data in a much more robust way than an Excel Spreadsheet. (And that is coming from a spreadsheet lover!)

Do you have any data that you use in simple database, like a spreadsheet! Then move it to a Microsoft List, or use one of the templates that Microsoft has included in Lists such as an Event List or Recruitment Tracker.

Why use a List? Firstly the data is kept in columns with pre-set data types (unlike Excel) and this ensures more consistent data. You can then build in rules and automation such as reminders based on date columns. Then if that is not enough, you can create Automations linked to the list and approvals if required, and even a Power App.

One example was a customer who wanted to keep a record of any inspections on sites and the results. A list was created to enter the data, which is entered via an App on a phone. The data is consistent and stored in the one database. An email is sent to the person collating the data and also Head of Department to let them know another inspection has taken place. A PowerBi report is linked to the List to report on number of inspections and results.
